Improvement for booking agents: New mobile booking preview

 

When you access your Optune account from your mobile, you're now given a preview of each booking. Just click on a booking and a window appears showing you the key details including date, venue, deal, contacts and schedule information. You can also access the full booking details (and edit them) by selecting the Full Booking button at the bottom of the preview.

You no longer have to wait for your past bookings to load. We've reconfigured the system so that all of your bookings load automatically, granting you quick access to refer to the details of those past dates. Just scroll up on your gig listings!

Feature for artists: New quick-glance Booking Preview

 

Now, when you click on a booking from either your desktop or smartphone, a Booking Preview (pop-up window) will appear. This is a neatly organized summary of your booking that prioritizes the booking details so you can access the key information more quickly. To see and adjust the full booking, simply click "Edit".

Improvement for booking agents: Artist-specific Booking Request forms

 

If you’d like to send a Booking Request form to a promoter regarding a particular artist, simply go to the artist’s profile in your agency account and copy/paste the Booking Request Website URL or the Widget Embed Code, and send it off. The artist’s name now appears at the top of the request form, setting it apart from the general agency form.

Improvement for booking agents: Setting mandatory fields on the Booking Request form

 

Perhaps you would like to set the Fee Offer or Company name as mandatory information fields on your Booking Request form (they will appear in red, and the form cannot be sent until these fields are completed). To set particular fields as mandatory, please contact us at Optune, and we’ll gladly make the change for you.

Improvement for booking agents: Page Break feature in contracts and offers

 

We’ve added another handy design element to the formatting toolbar. When you’re creating contracts or offers, you can now add page breaks wherever you see fit. Simply hit Preview or Print during the creation process, and determine what information appears on which page.

Improvement for booking agents and artists: New Publish button for bookings

 

No matter what the status is of your booking (Pending, Confirmed, etc.), you can now publish it. The new Publish button allows you to share a booking or to keep it visible only within Optune. When published, it’s shown in your artist’s Public Feed, and therefore in their Public Calendar, Facebook Upcoming Shows tab and Public Gig Website.

Feature for artists: Quick Add booking from calendar

 

In addition to the regular function of adding a new, full booking and it’s details, you now have the option to Quick Add a new booking from your calendar. Just click on a date, select the Quick Add Booking button, and fill in the basic information about the booking. This feature is perfect for keeping track of things while on the road.

Improvement for booking agents and artists: Customizable placeholder for unassigned hashtags

 

When you're creating contracts, offers and invoices, you can now set a placeholder (words or characters) that will take the place of empty hashtags. The placeholder, when previewing your documents, also acts a reminder that you must add specific information to your booking overview in order for the hashtag to be replaced by it.

We've now given you a button that reads: "Contact for individual bookings only. Do NOT add to general contact list". You'll find this when you add or edit a contact, and it will keep those contacts related to a specific booking OUT of your greater contact database. Better organization, better workflow!

Sometimes the company to which you're sending an invoice has a billing address that differs from their company address. Now you can add a separate billing address to your contacts, and this address will appear when you generate an invoice for a booking.

When you're creating contracts, offers or invoices, you can now add the name of the event to them by using the hashtag #eventTitle.

Feature for booking agents: Private calendar feed for your agency

 

It's very easy to synchronize your personal calendar with your Optune calendar. As an agent, you can choose to synch both the Public Calendar Feed (gig info) and Private Calendar Feed (gig info + fees, etc.) to your personal calendar so that you can keep track of all facets of your bookings at all times.

Improvement for artists and agents: Hide or display the "Buy Ticket" icon

 

Under the TICKETS card in the Booking Overview, you can enter a link that directs people to a ticket-purchasing site. Upon adding a link, a clickable "Buy Ticket" icon will appear beside the gig listing when it's published in the Upcoming Gigs widget. If no link is added to the Booking Overview, the icon will not appear beside the gig listing.

Improvement for artists and agents: Updated private calendar feed for Google Calendar, ical, etc.

 

Rather than have the artist's full name be the first visible piece of information displayed for a booking in the private calendar feed, each booking now appears with the artist's initials followed by the event name and location. In other words, you can now see more information about a gig at a quick glance.

Improvement for booking agents: New #lineup hashtag

 

When you're making your contracts, you can now use the new hashtag for the show's line-up. Each artist's name and play time will be listed as you've entered it into the Booking Overview for that particular gig.

We’ve added a “Today” button at the bottom of the calendar on your Dashboard. This way, when you’re scrolling through dates for next month or year, you can quickly return to the present date with one click.

Improvement for booking agents: Customized information on your contracts and offers

 

Your Booking Overview now includes a card called “ADDITIONAL INFORMATION”. Whatever you type in here, such as info for promotional material (e.g. amount of flyers and posters to be printed for the gig), can now be brought into your contracts using our handy hashtag system.

Along with our Contract feature, you can now create Offers as well. Enter the information using the hashtag system and format it using the toolbar just like you do with contracts. If you want to propose your artist for a particular gig, easily create a slick-looking offer sheet, send it to the potential client, then use the saved template for another gig in the future.

Improvement for booking agents: Same contact for different categories

 

When you’re entering contacts to a specific booking from the Booking Overview, you’re now able to choose the same contact name for the “Promoter”,  “Artist Care” or “Other” contacts. The same name will appear as the contact for each of those categories when viewed in your Itinerary Overview or contracts.
